Our engagement with OSRAM Mexico began with a detailed proposal outlining the project’s framework.

Estimated Cost: A detailed breakdown of costs for design, materials, fabrication, labor, logistics, and project management for all four stands was provided and approved by the client.

Background/Diagnosis: OSRAM Mexico needed to participate effectively in several crucial industry trade shows. Their requirement was for visually appealing, functional, and brand-consistent exhibition stands that could be adapted or rebuilt for four separate events, maximizing impact and reflecting their market leadership.

Project Synthesis: The project encompassed the complete lifecycle for four exhibition stands: initial consultation, bespoke design based on OSRAM’s needs for each event, fabrication using quality materials, logistical planning, on-site assembly, and post-event disassembly.

Project Scope: The scope included:

Needs assessment and brief development with OSRAM.

Conceptual and detailed design of four unique stands.

Material sourcing and fabrication.

Transportation of stand components to/from convention centers.

Professional on-site installation and setup before each event.

Dismantling and removal after each event.

Project management and client communication throughout.

Exclusions: Booth staffing, specific product display content (provided by OSRAM), event registration fees.

Proposed Solution: We proposed a collaborative approach, working closely with OSRAM’s marketing team to translate their vision into tangible designs. The solution focused on modularity where feasible for cost-effectiveness across events, high-quality finishes, integrated lighting to showcase OSRAM’s own products, and strict adherence to event regulations and deadlines.

Work Plan Summary: A phased approach was outlined: 1. Briefing & Requirements Gathering, 2. Conceptual Design & Feedback, 3. Detailed Design & Approval, 4. Fabrication & Quality Control, 5. Logistics & Pre-Event Coordination, 6. On-Site Assembly, 7. Event Duration Support (stand integrity), 8. Dismantling & Site Clearance.

Deliverables :

Approved design blueprints and 3D renderings for each of the four stands.

Fully fabricated and finished stand components.

Successfully assembled stands at each designated event location.

Project status reports and communication logs.

Project Risks: Potential risks identified included: client approval delays impacting timelines, material availability fluctuations, logistical challenges (transport, venue access), on-site unforeseen issues, and potential scope creep. Mitigation involved detailed planning, buffer times, pre-booked logistics, experienced assembly teams, and clear change request processes.

Client Resources (OSRAM Mexico): Marketing team contact for approvals, brand assets (logos, guidelines), product samples/specifications for display integration, allocated budget, booth space contracts.

Installation Stages:

Design Phase: Concept sketches, 3D modeling, material specification, technical drawings.

Fabrication Phase: Component manufacturing, graphic production, quality checks.

Logistics Phase: Secure packaging, transportation scheduling, coordination with event organizers.

Assembly Phase: On-site build according to plans, electrical setup (if applicable), final touches.

Disassembly Phase: Careful dismantling, component inventory, site cleanup.

Expected Outcome per Stage:

Client-approved designs ready for production.

Completed, high-quality stand components meeting specifications.

All components delivered safely and on time to the event venue.

A fully functional, safe, and visually impressive stand ready for the event opening.

Components removed efficiently, site left clean, inventory confirmed.

Progress Indicators per Stage:

Signed-off design documents.

Passed internal Quality Assurance checks, photo documentation of completed parts.

Delivery confirmation receipts, venue check-in confirmation.

Client walk-through and handover sign-off pre-event.

Venue clearance confirmation, return logistics confirmation.

Control Mechanisms: Regular progress meetings (internal and with client), photographic updates from the workshop and site, pre-build checks where feasible, on-site supervision during assembly/disassembly, client sign-offs at key milestones.

Consultant Resources: In-house design team, project managers, skilled workshop fabricators, dedicated assembly crew, transportation vehicles/partners, project management software, standard operating procedures for quality control.

The work plan provided a roadmap for execution.

Resources to Utilize: Design software, workshop machinery, fabrication materials (wood, metal, acrylics, etc.), printing equipment, transportation, assembly tools, safety equipment, project management personnel, design personnel, fabrication and assembly labor.

Expected Outcome of the Solution: Delivery of four bespoke, high-quality, brand-aligned exhibition stands, installed on time and within budget for OSRAM Mexico’s participation in designated trade shows, enhancing their market visibility and product presentation.

Activities to Develop: Included client briefing, site surveys (if necessary), concept development, 3D rendering, technical design, material procurement, fabrication, graphics production, logistics planning, transport, on-site assembly, coordination with event services, final inspection, post-event disassembly, and project closure reporting.

Each activity within the plan was further detailed for effective management.

Tracking Mechanism: Utilized project management software to track task completion, timelines, and resource allocation. Regular communication via email, phone, and meetings ensured alignment.

Scheduling: A detailed Gantt chart was created, outlining start/end dates for each activity, dependencies, and critical path milestones for each of the four stand projects.

Responsibility: Specific individuals or teams were assigned responsibility for each task (e.g., Lead Designer for conceptual design, Production Manager for fabrication, Account Executive for client communication and overall oversight).

Progress Indicators: Defined for each major activity (e.g., ‘Design Concept Approved’, ‘Fabrication 50% Complete’, ‘Components Delivered to Site’, ‘Stand Assembly Complete’).

Control Mechanism: Regular status update meetings, review checkpoints requiring sign-offs (internal and client), quality inspection reports, photographic documentation.

Formalizing the agreement was crucial for project success.

Intellectual Property Clause: Addressed the ownership of the designs – typically, the client owns the final stand, while the designer might retain rights to the design process/concepts unless otherwise specified (this needs to reflect the actual agreement).

Authorized Proposal: The final proposal, incorporating any negotiated adjustments, was formally signed by both OSRAM México and Ideas y Conceptos.

Scope: The agreed-upon scope of work and deliverables was explicitly documented.

Expected Result: Clearly defined the successful delivery and installation of four stands as per the approved designs and timelines.

Expected Implementation Time: The overall project timeline, including key milestones for each stand and event, was agreed upon.

Participant Responsibilities: Responsibilities for both Ideas y Conceptos and OSRAM México were clearly listed and confirmed.

Cost of Solution: The final project cost was formally agreed upon.

Payment Conditions: A payment schedule (e.g., deposit, milestone payments, final payment) was specified and agreed to.

Confidentiality Clause: Included standard clauses regarding the confidentiality of proprietary information shared by both parties.

Why This Worked:

Managing the OSRAM Mexico account for this multi-stand project was a rewarding challenge. By applying a structured methodology, we successfully navigated the complexities of design, fabrication, and event logistics for four separate installations. The result was high-impact brand representation for OSRAM at key industry events and a highly satisfied client. This project highlights my ability to manage complex client requirements, oversee creative and production processes, and ensure timely, quality delivery in the demanding environment of event marketing.
